Refund Policy

Effective Date: February 17, 2024 Audit Status: ARC Compliant Entity: Vista Destination LLC

Refund & Settlement Protocol

As an ARC-accredited travel agency, Vista Destination LLC facilitates refund requests between the traveler and the primary service provider (the airline). All refunds are governed by the specific **Contract of Carriage** of the airline and the fare rules attached to the individual e-ticket.

Google Merchant Compliance Notice:

We clearly distinguish between carrier-imposed ticket costs and agency-imposed service fees. Vista Destination LLC does not have the authority to override airline-imposed "Non-Refundable" fare rules.

01 Standard Refund Terms

Most low-cost and discounted international airfares are entirely non-refundable once the ticket has been issued through the ARC settlement system.

Refundable Fares

If your fare is designated as "Refundable" by the carrier, the refund will be processed minus any carrier-imposed cancellation penalties and our agency administrative fees.

Agency Service Fees

All professional consultation fees, booking fees, and ARC facilitation fees are non-refundable. These fees represent the labor and technical costs incurred at the time of booking.

02 Cancellation Procedures

Pre-Ticketing (Void Period)

Most US-originating flights allow for a void period within 24 hours of booking, provided the flight departs more than 7 days from the booking date. Agency service fees still apply.

Post-Ticketing

Requests for refunds must be submitted in writing to support@vistadestination.com. Phone cancellations are not considered official until confirmed via email with a cancellation reference number.

ARC Refund Settlement Workflow

1
Audit & Verification

We verify the fare rules with the carrier to confirm refund eligibility and calculate penalties.

2
Carrier Submission

The request is formally submitted through the ARC/IATA BSP (Billing and Settlement Plan) for carrier authorization.

3
Processing Window

Standard processing time is 7-14 business days, though some international carriers may take up to two billing cycles.

4
Credit Issuance

Funds are returned to the original form of payment. No refunds will be issued to third-party accounts or via cash/check.

03 Special Case Scenarios

Schedule Changes & Involuntary Refunds

If an airline cancels a flight or makes a major schedule change (typically 4+ hours), you may be entitled to an involuntary refund. Vista Destination LLC will fight on your behalf for these funds, though carrier final approval is required.

"No-Shows"

Failure to check-in or board your flight results in a "No-Show" status. In nearly all cases, the entire value of the ticket is forfeited by the airline, and no refund or credit can be recovered.

Chargeback & Dispute Policy

Most billing disputes arise from a misunderstanding of airline "Non-Refundable" rules. We urge customers to contact us first. Unauthorized chargebacks—where a service was provided and booked—are considered "friendly fraud" under industry standards. Vista Destination LLC reserves the right to use ARC ticketing logs, IP records, and signed authorizations to vigorously contest such disputes.
